JOB DESCRIPTION

JOB TITLE: Office Administrator, Western Power Pool (WPP)

SALARY AND BENEFITS:

In addition to a competitive salary range of $39,520 to $57,699, WPP employees enjoy outstanding benefits including medical, dental, vision, short and long-term disability insurance, an insurance premium contribution, a flexible spending account contribution, 401k contribution, personal leave, and educational reimbursement.

The WPP office is in Portland, Oregon. This position allows a hybrid work schedule but will primarily work from the office with the expectation that the employee will reside in the Portland, OR and Vancouver, WA metro area. For background on the WPP please see: https://www.westernpowerpool.org/

RESPONSIBILITIES:

  • Oversees general office operations and provides reports to management
  • Manages filing systems and office supplies
  • Performs and supports invoice payment in coordination with office accounting staff
  • Responds to staff queries on office management issues
  • Monitors office management and designs innovative work systems
  • Works with the Human Resources staff to update office policies and onboard new hires
  • Serves as first point of contact for general WPP member requests and collaborates with WPP staff to escalate and resolve requests and questions
  • Oversees guest experience, including management of large conference room operations and guest services
  • Sorts mail and answers direct phone calls
  • Plans in-house or off-site activities for the organization
  • Arranges travel processes, including flight and hotel booking, and car rentals for Board of Directors and President
  • Performs or facilitates maintenance of office equipment including cleaning, and repairs
  • Prepares document templates and formats documents in support of all staff
  • Performs other related duties as assigned

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent required
  • At least three years of administrative or office manager experience
  • Excellent organizational and time-management skills
  • Analytical abilities
  • Exceptional attention to detail
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Advanced computer skills, with an aptitude to learn new systems and procedures
  • Hands-on experience with office machines and equipment

PREFERRED QUALIFICATIONS

  • Associate degree in office administration or related field preferred
  • Additional qualification or certification as an Administrative Officer or Secretary
  • Experience developing internal systems
  • Extensive knowledge of office management procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Microsoft Office Suite or related software

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
